Emergency calls don’t wait
A no-heat call in February and a dead compressor in August are the same call in one respect: the customer is ringing several numbers, and the job goes to whoever answers. There is no callback window on an emergency HVAC call — voicemail is a lost job, not a deferred one.
Which makes the metric that matters unusual. It is not average speed of answer across the month; it is what happens to the twentieth simultaneous caller on the worst day of the year. Every answering arrangement looks fine on a Tuesday in April.
Seasonal volume spikes
Here is where intuition misleads. Take a normal hour of 20 calls at a four-minute average handle time, answering 80% of them inside 20 seconds. Now triple the volume and solve again:

Three times the calls, roughly twice the people. Queueing works in your favour as volume rises, which is the useful half of the result — but the other half is that you still have to find 10 trained people for an afternoon you cannot schedule in advance, and then not pay them in October. Dispatch and job routing
Answering is the easy half. The value is in what happens next: qualifying the job on the call — what the unit is doing, whether there is any heat or cooling at all, address, access, whether anyone is home — and getting it to the right technician with that detail attached.
ServiceTitan, Housecall Pro, Jobber and FieldEdge are all listed field-service integrations. Worth testing in a demo rather than taking on trust, and testing the right thing: not whether a job is created, but whether the qualification detail survives into it. A job record containing a name and a callback number has thrown away most of the call.
After-hours cover
Emergency HVAC does not observe office hours, and the after-hours arrangement is usually the weakest part of the setup — an owner’s mobile, a rota nobody wrote down, or voicemail. The decision to make explicitly is which calls justify waking somebody. Everything else can be booked for the morning by an agent that is awake anyway.
Cost per booked job
Per-minute and per-seat pricing are hard to compare directly, so compare on cost per booked job instead — it is the number that actually decides this, and it folds in the answer rate rather than ignoring it. A cheaper service that misses a quarter of the surge is not cheaper.
The input most operators underestimate is the value of the missed call. An emergency HVAC job is a high-ticket, high-intent enquiry with no second chance, so the break-even arrives faster than the per-minute rate suggests.
